Phone Campaign

Navigation: Tools > Smart Search

Scenario: Identify all the students who were admitted for Fall 2023 on or before the last day. You want to make sure the student acceptance email has already been sent, so you can follow-up with a congratulatory phone call.  

Tip: You also want to make sure the Smart Search only includes students that have an active phone number. Once you have called the student, you do longer want them to appear in your Smart Search.

 

Define your Smart Search criteria

  • Student Type = New First Time, Transfer, Readmit
  • Student Status = Admitted
  • Student Status Entry Terms = Fall 2023
  • Student Status Date = On or before the last day
  • Prior Communication = Admit 1 – Student_Acceptance_Email
  • Phone Criteria:
    • phone number – is not empty, primary = yes
    • phone status – is active, primary = yes
  • Action = Admit Phone Call 

 

Build your Smart Search 

  1. Group 1

    1. Match Type: Match All
    2. Condition 1: Person – Student Type
    3. Operator: Contains any of
    4. Condition Value: Select appropriate student types (i.e., New First Time, Readmit, Transfer, etc.)  from the dropdown menu


  2. Add a Linked Group

    1. Click
    2. Select Linked Group. A Linked Group 2 will display.



  3. Add the criteria for Linked Group 2 (Phone)

    1. Condition 1: Phone – Phone Status
    2. Operator: Contains any of
    3. Condition Value: Active
    4. Field: Active
    5. Primary: Yes
    6. Click  to add a Condition
    7. Condition 2: Phone – Phone Number
    8. Operator: Is not empty
    9. Field: Active
    10. Primary: Yes



  4. Add a Linked Query Group

    1. Click
    2. Select Linked Group. A Linked Group 3 will display.



  5. Add the criteria for Linked Group 3 (Student Status)

    1. Condition 1: Student Status – Student Status
    2. Operator: Contains any of
    3. Condition Value: Admitted – Admitted
    4. Field: Active
    5. Primary: Yes
    6. Click  to add a Condition
    7. Condition 2: Student Status – Student Status Entry Term
    8. Operator: Contains any of
    9. Condition Value 2: Fall 2023
    10. Field: Active
    11. Primary: Yes
    12. Click to add a Condition
    13. Condition 3: Student Status – Student Status Date
    14. Operator: Relative – is on or before
    15. Operator: Last
    16. Condition Value 3: 1
    17. Operator: Days
    18. Field: Active
    19. Primary: Yes



  6. Add a Linked Query Group

    1. Click
    2. Select Linked Group. A Linked Group 4 will display.



  7. Add the criteria for Linked Group 4 (Action History)

    1. Condition: Action History – Communication Name
    2. Operator: Contain any of 
    3. Condition Value: Name of Communication (i.e., Admit 1 – Student_Acceptance_Email)



  8. Add a Linked Query Group

    1. Click
    2. Select Linked Group. A Linked Group 5 will display

  9. Add the criteria for Linked Group 5 (Action History)

    1. Condition: Action History – Action
    2. Operator: Does not contains any of (all)
    3. Condition Value: Add the action you will use to indicate you called the student (i.e., Admitted Call – Call 1 Success)
    4. Click Save Changes or Run


 

Results

Tip: The Smart Search Results identifies the students that need to have a text reminder to register sent. Right-click the Full Name to open the record and verify the results. This Smart Search can be used for a calling campaign as well.
