Scheduling a Bulk Update Package

Navigation: Tools > Bulk Update

Tip: There are two ways to schedule a bulk update job. You can use:

  • The Scheduler. See Scheduler, Creating a Job, for instructions. 
  • The Bulk Update Package Composer. See Scheduling a Bulk Update Job directly below for instructions.

  1. From the bottom navigation bar, click Tools
  2. Click Bulk Update. The Bulk Update Manager will display.
  3. Click Packages
  4. In the Search field, enter the name of the package you want to schedule or scroll through the list of text on the page
  5. Click the name of the Bulk Update. The Bulk Update Package Composer will display.



  6. Click Finish
  7. Click Make Ready & Run. The Run Bulk Update page will display.



  8. Confirm the Bulk Update Details (i.e., Package, Smart Search, Actions) are correct
  9. Select the appropriate person from Staff dropdown
  10. Click the   to select a Date
  11. Click Review Bulk Update. The Run Bulk Update: Review page will display.



  12. Click Schedule Bulk Update


 

Using the Bulk Update Job Composer to Create a Bulk Update Job

Details

  1. Name: Enter the name of your Bulk Update job
  2. Bulk Update Package: The name of your Bulk Update package

    Tip: The Bulk Update Package field will default to the package name you are scheduling.




  3. Start Date and Time:

    1. Click   
    2. Select the first date you want the Bulk Update job to run
    3. Click



    4. Select the first time you want the bulk update to run




  4. Time Zone: Select the time zone from the Time Zone dropdown menu
  5. Active: The Active box is checked by default. 

    Tip: If you want to pause a scheduled text, uncheck the box next to Active.


 

Occurrences

  1. Frequency

    If you want to send your text one time:

    1. Click Select 
    2. Click On Date. The Date and Time fields will display.
    3. Click   
    4. Select the date you want to run the bulk update
    5. Click



    6. Select the time you want want to run the bulk update




If you want to send your text one time:

    1. Click Select 
    2. Click how frequently you want the bulk update to run. The appropriate Day, Time, and End Date fields will display.
    3. Complete the details, as needed

      Tip: To schedule more than one type of occurrence, click .

      Tip: To remove an occurrence(s), click

      Tip: If a day does not exist in your recurring schedule (e.g., February 29), the text job will not run.



 

Exclude

  1. Date

    1. Click  
    2. Select the date that you do not want to send your text 

      Tip: You can add as many exclusion dates as needed by clicking (e.g., If you send a text on the first day of every month, you can exclude January 1, New Year’s Day.)



 

Action

  1. Override Action Date with the Date when this Job Runs: When the box is checked, the action date will match the date your bulk update runs.

    Tip: If you want the action date to ALWAYS be the date you created your bulk update, rather than the date your bulk update was sent, uncheck the box.



 

Notifications

  1. Notify me every time the job runs: If you want to receive a notification once your bulk update runs, whether it’s successful or contains error(s), check the box

    Tip: This is the default setting.

  2. Only notify me when the job contains errors: If you want to receive a notification only if your bulk update contains error(s), check the box

  3. Notify me one week before the job runs: If you want to receive a notification one week before the first time your bulk update is scheduled to run, check the box

    Tip: We recommend that you use this notification to double-check your bulk update details are still accurate.   

  4. Notify me on the last scheduled run date: If you want to receive a notification when your bulk update runs for the last time, check the box

  5. Recipient’s Email: Enter the email address(es) of each staff member who should receive the notification(s)

    Tip: If multiple staff members will be receiving a notification(s), make sure to use a comma to separate each email address.


 

Schedule Preview

  1. Click Month, Week, or Day to select your preferred calendar view 
  2. Depending on the view you’ve selected, use the Navigation Arrows to scroll from month to month, week to week, or day-to-day 
  3. Click Save Changes. Once your text has been saved, a banner will be displayed telling you that a Scheduled Job has been Created/Updated.

    Tip: The preview calendar will display all of your scheduled run dates and times
